What SubBadge does
Your subs' documents, tracked automatically — not by you
Every subcontractor on a job site carries insurance, licenses, and certifications. When those lapse and something goes wrong, the liability lands on you. SubBadge closes that gap without adding a job to your plate.
Subs upload documents through a simple email link — no new account for them, no chasing PDFs for you. AI reads the key fields. Expiration alerts go out automatically. Your dashboard stays green.

The workflow
Set it up once. SubBadge handles the rest.
You add your subs
Import your subcontractor list — takes about 5 minutes
Enter names and email addresses. SubBadge sends each sub a plain-language email with a link to their upload portal. You don't have to explain anything — the instructions are built into the link.
Subs upload their documents
A clean upload page — no new account, no app to download
Your sub clicks the link, drags in their certificate of insurance, W-9, or license. SubBadge's AI reads the document and pulls out the key fields: policy number, coverage limits, effective dates, and expiration date. If a field is missing or unclear, we flag it.
Automated alerts keep everything current
30, 14, and 7 days before expiration — reminders go out automatically
SubBadge tracks every expiration date and emails your subs before documents lapse. You can see every reminder that went out, every document that came back, and every sub who hasn't responded. The amber warnings on your dashboard tell you where to pay attention.
Your dashboard stays green
One screen tells you your full liability exposure
Green means covered. Yellow means expiring. Red means you need to act before that sub sets foot on a job site. No spreadsheet cross-referencing. No digging through email threads. Just the status you need to make the call.

Compliance Dashboard
Green, yellow, red. No ambiguity.
Your dashboard shows every active subcontractor in one view. Status chips update in real time as documents expire or new ones come in. An alert banner surfaces your highest-risk subs so you know exactly where liability is building.

Subcontractor Roster
All your subs, with their compliance score, in one list
The roster gives you a sortable, filterable view of every subcontractor. See who is fully compliant, who needs a nudge, and who is a red flag. A compliance score distills each sub's document status into a single number — no guessing required.
- Sort by compliance score, trade, or last document date
- One-click request sends a reminder to a specific sub
- Add new subs mid-project without disrupting the rest
A lapsed certificate is not a paperwork problem. It is a liability that lands on you the moment something goes wrong on the job site.
SubBadge is the simplest way small and mid-size general contractors close that gap — without adding headcount or complexity.

Common questions
The questions GCs ask before signing up
Do my subs need to create an account?
No. Your subs click a link from an email and upload directly. They don't need to sign up, download an app, or set a password. That is intentional — the less friction for them, the more likely they actually send the documents.
What documents does SubBadge handle?
Certificates of insurance (general liability, workers compensation, auto), contractor licenses, W-9s, and safety certifications. If your sub uploads a PDF or image of any of these, SubBadge reads it and extracts the key fields automatically.
What happens if a sub doesn't respond to reminders?
SubBadge sends reminders at 30, 14, and 7 days before expiration. If a sub still hasn't uploaded, their status flips to red on your dashboard and you can choose to block payment until they comply — or simply use that as leverage in your own conversation with them.
How is SubBadge different from Jones, Billy, or myCOI?
Those tools are built for large general contractors with dedicated compliance staff and enterprise procurement teams. They cost significantly more and take weeks to implement. SubBadge is built for the owner-operator running 5 to 50 subs — it takes 15 minutes to set up and is priced accordingly.
Is my data secure?
Documents are stored encrypted and access is restricted to your account. SubBadge does not share document data with third parties. Your subs' certificates of insurance contain sensitive policy information and we treat it accordingly.
Can I try SubBadge before committing?
You can set up your account and explore the product before adding any subcontractors. Contact us if you want to talk through your specific situation before subscribing.
